Landlord Process

1Accurate valuation

When renting your property, the first and most important task is to obtain an up to date and accurate valuation. This is not simply a case of settling for the highest valuation, it is also about being able to trust your agent to know the local property market, allowing them to deliver an accurate valuation that will ensure your home will rent in a timescale that suits you.

2Selecting an estate agent

Most landlords choose to instruct an agency who acts on your behalf to get you the best possible price to the right landlord. Majority of landlords do not base their choice of letting agent on price alone but also consider factors such as local reputation, success in renting properties similar to yours, the experience of the team, the location and presentation of the local office, innovative marketing techniques and being a member of a regulatory body such as the TPO (the property ombudsman) and being a member of the association of residential letting agents (ARLA).

With our combined rental experience we have learnt that both tenants and landlords really value estate agents who have an in-depth local knowledge of the property market, as this ensures they will have an instant understanding of the appeal of your property to local high calibre tenants and will therefore get you not only the best price but the best tenants.

3Choosing the level of service

Capital are delighted to offer the following three levels of service. Every ones needs are different and the below are tailor made to suit the individual:

4Presenting your property

You only get one shot at making a first impression. Presenting your property in the right way is fundamental to achieving the best price and more importantly the best tenant. Consider tidying up the external look of your property as this is the first thing buyers will see. Try to view your property as a potential buyer would do. Address any small jobs around the house, a fresh coat of paint, a good tidy up and a ‘spring clean’ can only be adventitious.

If DIY really isn’t your thing we have access to a vast array of local trusted trades men.

5Marketing your property

The key to getting the marketing right is to be able to expose your property to the widest possible audience. Everyone’s individual needs are different we therefore endeavour to tailor make a marketing strategy for you so you have every confidence in the process.

Your properties details will be sent to active tenants already on our database. Your property will then be put in our shop front window and marketed on the major online property portals which include Rightmove and Zoopla.

6Receiving and agreeing an offer

We ask all potential tenants to put their offer through to us in writing. We will request all the relevant information that we will need to build a bigger picture of their position to make a decision for you much easier. We will give you advice wherever you need it.

7Offer Agreed and Referencing Process

Once an offer is agreed we will begin the referencing of the applicants. These will include the following:

  • Credit Checks
  • Previous landlord references
  • Work references
  • Accountant references
  • 3 Months Bank Statements (If needed)

Once all references are returned to a satisfactory level the applicants will be invited in to office for the day of move in as previously agreed to sign contracts and to clear the moving in balance of monies.

Prior to the tenant moving in a valid gas safety certificate, electrical certificate and an inventory will need to be arranged.

A tenant will pay 1 months’ rent in advance and a 6 weeks security deposit. We are a registered member of the tenancy deposit scheme (TDS).


As soon as the money clears and we have the signed tenancy agreement from both the landlord and the tenant, occupants then can move in.

Depending on the level of service that you choose will determine on the next steps of the process. If a managed service is chosen then we will continue to monitor the tenancy including collecting and paying you rent, inspections and dealing with issues. If a let only service is taken out the balance and documents will be cleared and the property will be in your hands however we are always here to help with any problems and questions you have!
